Topic question
Does Quickchat automatically refresh existing website articles and discover newly added pages? What should I do when our pricing changes urgently?
Recommended workflow for website updates
Use URL-backed articles, refresh urgent changes now, and enable daily Auto-refresh for ongoing updates if your plan supports it. You can do this in the dashboard or ask ChatGPT or Claude to help through your Quickchat account connection.
Do this now
Update the original pricing or help page, then manually refresh its existing URL article in the Knowledge Base. Refreshing replaces the article with the live page, including overwriting manual edits.
Wait until the affected articles are Ready, then test the new pricing and help answers in AI Preview. Processing is automatic; there is no separate retrain or publish step.
Keep it current
Auto-refresh checks selected existing URL articles once a day. It requires a paid plan, starting with Starter. On Free, refresh manually. Add new URLs separately, and refresh urgent changes manually instead of waiting for the daily check. Editing an article by hand turns its Auto-refresh off. Daily refresh is not a live lookup during every answer.
Prefer managing updates from ChatGPT or Claude?
Connect your Quickchat account using Manage with AI and sign in. No developer API key or custom synchronization script is needed for these tasks. Name your Agent and provide the source URLs, then ask:
Check which of these URLs are already in my Agent's Knowledge Base, add missing pages, refresh the changed pages, and enable daily Auto-refresh if my plan supports it. Show me the proposed changes before applying them.
Review the proposed changes and approve the account actions in your AI app. Connecting alone does not update your Agent or discover new pages. The dashboard workflow above works without this optional connection. See the documented management workflow.

For a small set of changing pages, the simplest routine is daily refresh plus a manual refresh when an important change goes live. Connect your account using [Manage with AI](/manage-with-ai/), name the Agent and give it the source URLs. For example:
> Help me keep my website Agent's pricing and help pages current. Check which of these URLs are already in its Knowledge Base, add any missing pages, and enable daily auto-refresh if my plan supports it. Show me the proposed changes before applying them.
The connection can add pages, refresh existing URL articles and manage their automatic refresh. It uses Quickchat sign-in, so you do not need a developer API key or a custom synchronization script for these tasks. **Automatic refresh requires a paid plan**; manual URL refresh is available on Free.
Keep this routine small:
1. Update the source website first. Avoid keeping conflicting copies of prices or policies in separate articles.
2. After an important change, ask your connected AI app to refresh the affected URL, then check that the article is **Ready** and test the answer.
3. Review [refresh failures](#if-a-url-refresh-fails) and unanswered customer questions regularly. You can ask your connected AI app to review recent conversations, then decide which knowledge needs improving.
4. Add newly published URLs and review retired pages separately. Daily refresh follows the articles you selected; it does not automatically discover new sitemap pages. Editing an article by hand turns its auto-refresh off.
If you need a custom synchronization process, check the separate [REST API plan requirements](/api-reference/) first. Daily refresh is not a live lookup; use an [Action](/ai-agent/actions/) when a reply must consult a live system.

URL articles stay linked to their source page, so you can keep them current without re-importing by hand. There are two ways to do this: **Auto-refresh**, which runs automatically every day, and **manual refresh**, which you trigger on demand. Both replace the article's content with the latest version of the live page and then retrain your AI Agent automatically.

It reads and updates settings, manages Knowledge Base articles and website sources, and can add one page or crawl a whole site. Website pages can be refreshed on demand, and paid plans can keep selected pages updated automatically. It also manages the Agent's AI Actions: it can inspect, create, update, test, activate, and delete Actions; discover conversation metadata keys for Action placeholders and conditions; preview the tools a remote MCP server exposes (`list_remote_mcp_server_tools`); connect that server to your Agent (`create_remote_mcp_action`); and inspect recent Action calls. There is nothing to ask it to publish or retrain: settings apply immediately, and new articles are processed automatically and go live once they're ready.
:::caution
Anything that changes your account (updating settings, adding knowledge) is confirmed with you first, and your AI app asks before it runs. Read actions like analytics and transcripts only return information.

There is no retrain step and no button to press. Every change to the Knowledge Base is processed automatically in the background, **one article at a time** — and only the articles you actually touched are reprocessed, so the rest of your Knowledge Base keeps answering questions the whole time.
This applies to every way content changes: adding or editing an article, deleting one, importing a website or a file, refreshing a URL by hand, and automatic daily refresh.

Knowledge Base / Keeping URL articles up to date / Auto-refresh
Turn on **Auto-refresh** for a URL article and Quickchat re-checks its source page once a day, updating the article automatically whenever the source changes. This keeps URL-backed knowledge in sync with no manual work.
:::note
Automatic URL refresh is available on paid plans.
:::
**How to turn it on**
- **One article** — open the article and flip the **Auto-refresh** switch in the right-hand metadata panel, or use the **Auto-refresh URL** toggle on the article's row in the list.
- **From the row menu** — click the "…" menu on a URL article row and choose **Auto-refresh URL**.
- **In bulk** — select several URL articles with the checkboxes and click **Auto-refresh URLs (N)** in the selection toolbar.
While Auto-refresh is on, the article is kept in sync with its source and its content becomes read-only, with the banner _"This article is in sync with its source. Turn off auto-refresh to edit."_ To edit the text yourself, click **Turn off & edit** (or switch **Auto-refresh** off). Editing a URL article turns Auto-refresh off automatically, so a later refresh never overwrites your changes.
The **Last Refreshed** field in the metadata panel shows when the article was last updated from its source.
If a refresh fails, the last saved version stays live and your AI Agent keeps using it. See [If a URL refresh fails](#if-a-url-refresh-fails) for the status, reason, and retry behavior.

> Build and manage your AI Agent's Knowledge Base. Learn how to add content, structure information, and optimize for accurate AI responses.
The **Knowledge Base** is the core component of your Quickchat AI Agent. It serves as the foundation for your AI Agent’s understanding of your company, products, and services. A well-structured and comprehensive Knowledge Base ensures your AI Agent can effectively handle user queries and deliver accurate responses.
This guide provides an overview of the Knowledge Base, strategies for building it effectively, and tips for optimizing its performance.
For pricing and help pages that change regularly, start with URL-backed articles and daily **Auto-refresh** on a paid plan. Refresh important changes manually instead of waiting for the next daily check. You can [ask ChatGPT or Claude to configure this](#manage-updates-with-chatgpt-or-claude) through your Quickchat account connection.
